5 Questions to Ask Before Hiring a Property Management Company

Hiring a property management company is one of the most important decisions you’ll make as a rental property owner. The right company protects your cash flow, fills vacancies fast, and handles the day-to-day headaches so you don’t have to. The wrong one quietly drains your income while you’re none the wiser. I’m Mike Fisher with MF CashFlow Property Management, part of M Property Group LLC, a licensed Illinois real estate broker. I’ve been investing in Chicago south suburbs real estate since 1991 and personally own over a large portfolio of rental properties. I’ve seen every trick in the book, and today I’m giving you the five questions that will protect your money before you sign anything.

Most property owners ask about the monthly management fee and stop there. That number is almost never the whole story. Here are the questions that actually matter.

1. What Happens to My Late Fees?

This one surprises most landlords. At the majority of property management companies, late fees collected from tenants go straight to the PM company. Not to you. Not split with you. Gone. That can add up to hundreds of dollars per year per unit, walking right out of your pocket and into theirs.

At MF CashFlow, 100% of late fees go to the property owner. Every single dollar. That policy is not standard in this industry, which is exactly why you need to ask before you sign a contract. Get the answer in writing.

2. Do You Add a Markup on Maintenance?

Many property management companies operate on a cost-plus model for repairs and maintenance. They bring in a vendor, pay the invoice, and then charge you that amount plus 10, 15, or even 20 percent on top. It sounds small until you have a plumbing issue, an HVAC repair, or a roof problem. Those markups compound fast.

We coordinate vetted, licensed vendors and give you itemized invoices for every repair, with full transparency. We have established relationships with local, vetted contractors throughout the south suburbs, so you’re also getting their better rates, not walk-up retail pricing. Ask any PM company you’re evaluating to show you their vendor markup policy in writing.

3. How Long Does It Take to Fill a Vacancy?

This is the question most property managers hate, because empty units are the single biggest drain on your rental income. An empty unit at $1,400 per month sitting vacant for an extra three weeks costs you over $1,000 in lost rent. That adds up fast if turnover isn’t handled efficiently.

Ask any PM company you’re interviewing for their average days on market for vacancies. If they can’t give you a specific number, that tells you everything. Our target at MF CashFlow is under three weeks from vacancy to signed lease. We list across multiple platforms, respond to inquiries quickly, and schedule showings efficiently because we know that every day empty is a day you’re not earning.

4. What Does Your Tenant Screening Process Actually Include?

Anyone can run a basic credit check. Real tenant screening goes several layers deeper. Does the company verify employment directly with the employer? Do they call previous landlords and ask the right questions? Do they check eviction history, criminal background, and income-to-rent ratios?

A bad tenant is more expensive than a vacancy. Between lost rent, legal fees, court costs, and physical damage to the unit, a single problem tenancy can cost $5,000 to $15,000 or more. Our screening process is thorough because we’ve seen what happens when it isn’t. We verify everything we can verify before handing over keys.

5. Who Actually Answers the Phone?

Some property management companies have grown large enough that their communication goes through a call center or a ticketing system. You report an issue and wait. You have a question about your statement and get a generic response. You never speak to someone who actually knows your property.

At MF CashFlow, you get real people who are local to the Chicago south suburbs and who know your building by name. When you call us, you’re talking to someone who has been in these neighborhoods, who knows the vendors in your area, and who can actually answer your question. That level of personal service is part of why we’ve maintained a 4.9-star rating on Google.

Before You Sign Anything

Print these five questions out. Ask every company you interview. Get the answers in writing before you commit to a contract. The monthly management percentage is just one piece of the picture. Late fees, maintenance markups, vacancy performance, screening depth, and real communication access are where the real differences between companies show up.
