If you own an apartment building in Chicago, your property manager has more impact on your investment’s performance than almost any other factor. The right PM grows your NOI. The wrong one costs you thousands, sometimes without you ever realizing it. Here’s a practical framework for evaluating whether your current property manager is actually performing.
Start With the Numbers
Good property management is, at its core, a numbers game. Pull your financial statements from the last 12 months and look for these key metrics:
- Average vacancy rate, For Chicago South Side buildings, aim for under 5%. If you’re regularly above 8-10%, ask why.
- Average days to lease, Under 30 days for a quality unit in a decent market is reasonable. 60+ days is a problem.
- Maintenance cost per unit, Compare year-over-year. Are costs trending up dramatically? Are you seeing the invoices?
- Collection rate, What percentage of rents owed are actually collected each month? Below 95% is a red flag for a professional PM.
Evaluate Communication and Transparency
Beyond the numbers, how does your PM communicate with you? Ask yourself:
- Do I receive monthly owner statements on time?
- Are maintenance expenses documented with invoices?
- Can I access my building’s financials in real time, or am I waiting for periodic reports?
- When I call or email, how long does it take to get a response?
- Am I notified proactively about issues, or do I find out after the fact?
A professional PM company uses systems like AppFolio to give you real-time access to rent rolls, work orders, and financial statements. If your PM can’t give you that kind of visibility, they’re operating behind the curve.
Audit the Fee Structure
Hidden fees are one of the most common ways Chicago landlords lose money to their property managers. Beyond the management fee, check for:
- Maintenance markups, Do they add a percentage on top of contractor invoices? This can be 10-20% on every repair, and it’s often buried in the fine print.
- Lease renewal fees, Some PMs charge you to renew a lease on a tenant you already have.
- Vacancy fees, Some PMs charge a minimum monthly fee even when a unit is vacant.
- Inspection fees, Separate charges for inspections that should be included in the management fee.
- Late fee retention, Many PMs keep late fees that belong to you. Check your contract.
Review Their Section 8 / HCV Track Record
If any of your units are Section 8 / Housing Choice Voucher, your PM’s HQS inspection track record directly impacts your income. Ask: what is their first-visit pass rate? How do they prepare units before inspections? How long does it take to fill a vacant Section 8 unit?
Failed inspections mean delayed rent payments, sometimes weeks of lost income. An experienced PM should be achieving 90%+ first-visit pass rates consistently.
