You signed a property management agreement. You thought you understood the fees. Then the invoices started coming in, and you realized the monthly management fee was just the beginning. Hidden fees are one of the most common, and costly, surprises for Chicago apartment building owners. Here’s what to watch out for.
1. Maintenance Markups
This is the biggest hidden fee in property management, and the least talked about. Many PM companies mark up contractor invoices, you pay $500 for a plumbing repair, but the actual contractor cost was $400, and your PM pocketed the $100 difference. Some companies mark up 10%. Some mark up 20%. Some have exclusive arrangements with contractors that inflate costs even further.
On a larger building with regular maintenance needs, this can add up to thousands of dollars per year, money that goes to your PM, not to maintaining your property. Ask any PM you’re considering: do you charge a maintenance markup? Get it in writing if the answer is no.
2. Lease Renewal Fees
Some property managers charge a fee every time a lease is renewed, even for a long-term tenant who’s been in your building for years. This can be $100-$300 per unit per renewal. Check your contract carefully for renewal fees.
3. Leasing / Placement Fees on Top of Management
Many PMs charge a separate leasing fee every time they fill a vacant unit, often one month’s rent or 50-100% of first month’s rent. While leasing fees are standard, the issue arises when: (a) they’re not disclosed upfront, (b) the PM has an incentive to keep vacancy high to collect more fees, or (c) the fee is charged even when the tenant came from an existing referral.
4. Late Fee Retention
When a tenant pays rent late, who keeps the late fee? In many PM contracts, the property manager retains some or all late fees. These are fees charged to your tenant for being late on your rent, but they go to the PM. Check your contract for late fee handling.
5. Vacancy Fees
Some PM contracts include a minimum monthly fee per unit, even when the unit is vacant. So your empty unit is costing you management fees while generating zero income. This fee structure removes the PM’s financial incentive to fill vacancies quickly.
6. Inspection Fees
Move-in inspections, move-out inspections, annual property condition inspections, some PMs charge separately for each. These are services that should arguably be included in the management fee for a professional operation.
7. Eviction Coordination Fees
Evictions are stressful and expensive. Many PM companies charge significant fees to coordinate the eviction process, fees on top of what you pay the attorney. Understand what eviction coordination costs before you sign.
How to Protect Yourself
Before signing any PM agreement, ask for a complete list of all fees, not just the management fee. Ask specifically about maintenance markups, renewal fees, late fee retention, and vacancy minimums. If a PM company is reluctant to disclose their full fee structure, that’s the answer.
