Hiring a property management company for your Chicago apartment building is a significant business decision. The right interview process separates the professionals from the pretenders, and saves you from a costly mistake. Here are the questions you should ask and the answers you should look for.
Question 1: How Many Units Do You Currently Manage in Chicago?
Size matters, but not in the way you might think. A very large PM company may have 2,000+ units but treat yours like a number. A boutique PM with 200-500 units may give you far more attention and service. Ask specifically about their South Side portfolio if that’s where your building is. You want a PM who knows your neighborhood, not just Chicago broadly.
Question 2: Do You Charge a Maintenance Markup?
Ask this directly. The answer should be a clear “no.” If the PM hedges, says “we have preferred contractors,” or can’t give a straight answer, assume there’s a markup. Get the answer in writing in the management agreement. A PM who puts maintenance billing in writing, including any markup, has nothing to hide, and you can judge the real cost before you sign.
Question 3: What Is Your HQS First-Visit Pass Rate?
If any of your units are Section 8 / HCV, this question is critical. A professional PM should know their HQS inspection pass rate off the top of their head. Anything below 90% first-visit pass rate is a problem. Failed inspections cost you rental income. A PM who doesn’t track this metric isn’t managing it.
Question 4: What Technology Do You Use for Owner Reporting?
The answer should be a named, established platform, AppFolio, Buildium, Propertyware, Yardi. You should be able to log in at any time and see your rent roll, maintenance work orders, financial statements, and occupancy status. If the PM is still on QuickBooks and email-based reporting, that’s a red flag for a larger building.
Question 5: What Is Your Complete Fee Structure?
Don’t just ask about the management fee. Ask about: leasing fees, renewal fees, maintenance markup (see above), inspection fees, late fee retention, eviction coordination fees, and vacancy minimums. Get a complete written fee schedule before you sign anything. Any PM reluctant to provide this should be crossed off your list.
Question 6: Can I Talk to Two or Three Current Owner Clients?
A confident PM company will happily provide owner references. If they hesitate, that’s information. When you call the references, ask specifically: how responsive is the PM when issues arise? Are financial reports accurate and on time? Have there been any billing surprises? Would you give them another building?
Question 7: Do You or Your Principal Own Investment Properties?
The best PM companies are run by owners who invest in real estate themselves. They understand your perspective because they live it, vacancy costs, maintenance decisions, tenant challenges, cash flow management. A PM who has never owned a rental unit is managing your asset purely theoretically.
