Owning an apartment building in Chicago is a serious investment. But if your property manager isn’t doing their job, you could be losing thousands of dollars every year without even realizing it. Here are five signs your Chicago property manager is costing you money, and what to do about it.
1. Vacancies Are Taking Longer Than 30 Days to Fill
In Chicago’s South Side rental market, a quality unit should be leased within 30 days, often faster. If your property manager is routinely letting units sit vacant for 45, 60, or 90+ days, that’s dead money. On a $1,200/month unit, a 60-day vacancy is $2,400 lost. Multiply that across a multi-unit building and you have a serious problem.
What to look for: Is your PM marketing on all major platforms? Are they conducting showings promptly? Are they following up with leads? If you can’t get a straight answer, that’s a red flag.
2. Maintenance Invoices Are Inflated
Some property management companies make significant hidden income by marking up contractor invoices, sometimes 10%, sometimes 20%, sometimes more. You pay the markup without knowing it exists. Ask your PM directly: do they charge a maintenance markup? If they can’t give you a straight “no,” assume the answer is yes.
At M Property Group LLC, maintenance is handled by vetted, licensed vendors with full invoice transparency, every repair itemized in your owner portal.
3. You’re Not Getting Regular, Clear Financial Reporting
You should receive a monthly owner statement that clearly shows rent collected, maintenance expenses (with receipts or invoices), vacancy status, and your net distribution. If your PM sends you a confusing report, a late report, or no report at all, that’s a problem. You’re flying blind on your own investment.
Modern PM companies use platforms like AppFolio that give you real-time access to your financials from any device. If your PM is still emailing PDFs or, worse, not reporting at all, it’s time to upgrade.
4. HQS or City Inspections Are Being Failed
If you have Section 8 / Housing Choice Voucher tenants, failed HQS inspections mean lost rental income, sometimes for weeks while repairs are made and re-inspections are scheduled. An experienced PM should be preparing your units ahead of inspections and achieving first-visit pass rates consistently.
Ask your PM: what is their HQS first-visit pass rate? If they don’t know, or the rate is below 90%, they’re costing you money on every inspection cycle.
5. They’re Hard to Reach When You Have a Problem
This one is harder to quantify but just as costly. When a tenant has an emergency, when a pipe bursts, when you need to make a decision, your property manager needs to be reachable and responsive. If you’re regularly waiting 48+ hours for a callback, problems escalate. Small maintenance issues become expensive repairs. Tenant disputes escalate to legal situations. Vacancies linger.
Responsiveness isn’t just a courtesy, it’s a financial performance metric.
